As of current we have 5 classrooms and one lecture hall available to us the entire day of the event. Each classroom seats approximately 40 with desks. The space is spread throughout the first floor which should make the PodCamp easy for attendees to navigate. The front entrance offers plenty of space for registration as well as a central place for lounging and networking.

Not all of the rooms have built-in projectors, so we will need to work out the logistics for those. We will have special wi-fi access the day of the event as well.

Our buddy Angelo will be calling into the show to give us the most current information available for Podcamp Ohio 2. If you remember from last year, it was December when we really started to rev things up as far as the planning process. So, if you would like to help out in any way, would like more information about the event, or just want to catch up with your Podcamp Ohio buddies, I encourage you to tune in on Thursday.

Mark your calendars because the Post PodCamp Ohio Party is coming back to The Doctor Anonymous Show this Thursday, July 10th, 2008 at 9pm Eastern Time! There has already been a lot of great discussion regarding the evaluation of the initial Podcamp Ohio.

Angelo asked me to host a meeting/show to kind of bring all the feedback together so that we know how to move forward toward Podcamp Ohio 2009. What did people enjoy about Podcamp this year? What things shouldn’t we change? What things can we do better for next year? Give it some thought.

Or, if like for the Pre Podcamp Party, you just want to hang out and have a good time, you know the time and place. Brandice has also said that she’ll be there on Thursday. Will you?

During meeting 28, we discussed registration, separate twitter account to send twitter announcements when someone checks in, announced t-shirt winner, discussed the podcamp schedule from Thursday night through Sunday morning, staff t-shirts have been ordered, event guide, session schedule, Brandice’s wedding in Las Vegas, and we answered some questions that some organizers and speakers had that were on the call. We also discussed the New Media Expo, Ham Radios, Digital Television, Internet access during PodCamp Ohio and the need to put together and send event information to registered guests.

Speakers

If you are speaking at PodCamp, screen projectors are available, but we will need to know ahead of time if you need one so we have it in your room. Please email angelo (angelo [at] podcampohio.com) and let us know if you will need a projector. You must provide your own computer that has a VGA port and 7-15 foot ethernet cable to connect to the Internet.

We have a print sample of the event guide created by Gabe from GodsMac.com as well as some of the event swag to demo during tomorrows meetup. Please feel free to bring your cameras and/or recording equipment.

Final Meetup before PodCamp This Weekend!

This will be the last meetup before PodCamp Ohio! Meetup 7 will take place on Saturday, June 21 from 11:00 am – 1:00 PM at the Hilliard Panara Bread (3625 Fishinger Blvd, Hilliard, OH 43026) close to ITT Technical Institute (map). Immediately following, we will visit ITT for event organizers and volunteers to check out the facilities. Organizers and Volunteers are strongly recommended to come to the meetup to go over event plans and duties.

Half way through the meeting we spoke with Chris, he has 2 session ideas that he may submit to present at PodCamp Ohio.

During meeting 26, we list through the current status of podcamp including the inclusion of Harry London buckeye chocolates for event guests, opportunity to have lunch catered, thoughts on event schedule, latest sponroship announcements (TechSmith) and more. Later in the episode we chat with Jon about Honda and end the meeting talking with Zeb about the event.

We are seeking volunteers for PodCamp Ohio. There are three areas where you can help.

1. Registration – Greet attendees, help guests sign in and help hand out event bags and t-shirts.
2. Session Assistant – Help speakers and attendees find rooms and assist speakers with getting setup where necessary.
3. Record Sessions – Assist Coefficient Media with recording (audio and/or video) the sessions.

If you would like to assist us, please email volunteer [at] podcampohio.com and indicate which of the three areas above you would like to volunteer for. Please include your t-shirt size and any time restraints you may have during the day. We need your response by June 15th so we can order your t-shirt.

Pre-Event Volunteer Schedule

• Meetup 7, Saturday, June 21 at Panera Bread by ITT 11am – Go over the event day game plan for Registration and Sessions with volunteers and organizers. at 1pm, we will take a brief tour of the school and go over questions anyone may have.
• Group Dinner, Friday, June 27 at Damon’s next to ITT @ 6pm – Everyone, including attendees are welcome to join us at the Damon’s by ITT for dinner. PLEASE BRING YOUR WALLETS, THIS DINNER IS NOT SPONSORED, SORRY EVERYONE.
• Event Walk Through – Friday, June 27 at ITT @ 8pm – We will do a brief walk through ITT and if there is time, setup tables for registration. Organizers and Volunteers are strongly encouraged to make it to this walk through.
• Wind down – Friday, June 27 at Damon’s @ 9pm – We’ll be hanging out at the Damon’s next to ITT following the Walk Through. This will be a great opportunity for Organizers and Volunteers to mingle with speakers and attendees who just arrived into town who are looking to wind down the evening before the big day.
• Early Morning – Saturday, June 28 at ITT @ 8am – Volunteers meet to setup registration and start signing in guests.
• PodCamp Opens – Saturday, June 28 at ITT @ 9am – Start signing in guests and assisting attendees.

Post-Event Volunteer Schedule

• Closing – 5:30pm – Clean up; return tables to their correct classrooms, pick up garbage, etc…
• Dave and Busters – 6pm – Meet at Dave and Busters to relax and play some games!

New Media Cincinnati meetup tomorrow!

The New Media Cincinnati meetup is meeting tomorrow, Saturday, June 7th from 4:00-6:00 PM at the Tri-county mall Panera bread, 405 East Kemper Road, Springdale, OH 45246 (map). More details may be found on Daniel Johnson’s web site.

We talked about volunteer and organizer T-shirts, we’re going to go with a blue shirt. Since last weeks meeting, Brian designed a blue shirt with the word ‘staff’ on the front and the PodCamp Ohio logo on the sleeve. We also decided that volunteers and organizers willing to buy their own t-shirt can. If you’re going to be volunteering and don’t have the means to buy your own T-shirt, please contact angelo (angelo [at] podcampohio.com) and we’ll work out getting you a Staff shirt ordered.

We also discussed event bags and possibly not getting them, but since the last meeting Angelo found a vendor who sells branded 9″x12″ at an affordable cost.

The remainder of the meeting we go on a tangent about the Smurfs, the Lost season finale that directly followed this meeting and The Office.

We also talked about the current results of the sessions survey. As of current, the survey has ‘Strategies for blogging, podcasting and social network marketing’, ‘What NOT To Do. Podcasting and other Social Media Anti-Tips’ and the ‘podcasting 101′ sessions have over 40% interest. We may plan on holding these sessions in the larger rooms. Last part of the meeting we discussed the past weekends meetup on May 17. Following the meetup we visited ITT and did some video recording of the facilities then hate lunch at the Damon’s next door.

Pre-PodCamp party
We will have a Pre-Podcamp Ohio meetup/party on Doctor Anonymous’s Podcast Thursday night (June 26, 2008) before PodCamp Ohio.

Mary, Jason, Gabe and I (Angelo) visited ITT this past Friday. We now have details to help us schedule the sessions throughout the day. There are also some other features at the school we saw that will really help make this a great PodCamp!

The Columbus Social Media Cafe is organizing workshops for ComFest. We may be able to help by assisting with the podcasting workshop. Most likely the Podcasting 101 type sessions we already have planned would be the most relevant for the workshop. We will find out what the needs are for these workshops next week.

Our first task was to assess the rooms available. One of the rooms available to us the entire day is perfect for our First Aid room for podcasters to setup their computers and practice podcasting. While taking pictures of the other rooms, we discovered 5 break out rooms that will be available to us as well. These are perfect rooms for those who may want to have a discussion or record interviews outside of the hallways. We also took some pictures of the lounge area, which will have vending machines and plenty of seating for socializing and networking.

We also inquired about Internet access for the event. Each projector has an ethernet port available for the presenter. In addition, there will be wireless access available as well. The wireless access will most likely be made available via a guest account. We will get more details for this when we’re closer to the event.

We discussed the initiative to help less fortunate seniors obtain digital TV converter boxes. For more information, please refer to the WOSU Public Media Collaborates to provide DTV converters to Seniors post.

We also discuss the room availability that we received earlier this week from ITT Technical Institute. In a nutshell, we have access to 5+ rooms during the morning and access to all rooms in the school after 1:30 pm. We designated a room to function as a First Aid / Practice Podcasting room.

We finished the night discussing sessions, the event guide, creating help document to hand out to attendees for starting podcasting.
